This policy explains what personal information we collect through this website and in the course of providing our services, why we collect it, who we share it with and how long we keep it.
If you work for Ardex, your information is covered by the staff privacy notice you were given when you joined and which you accept in the Ardex operations app. Ask the office if you would like another copy.
1. Who we are
Ardex Group Ltd is a facilities services company based in Liverpool. We are the data controller for the information described in this policy, which means we decide what is collected and why.

2. Visitors to this website
You can browse this website without telling us who you are.
This site is built and hosted on Squarespace. Squarespace sets a small number of cookies that are necessary for the site to work, for example to keep it secure and to remember your cookie choices. These are set whatever you choose, because without them the site does not function.
Analytics. We use Squarespace Analytics to see how many people visit the site and which pages they read. This tells us about visits rather than about identifiable individuals, and we use it to improve the site.
Forms. If you fill in a form on this site, Squarespace stores what you send so that we can read it and reply.
You can control cookies through your browser settings, and through the cookie banner on this site where one is shown. Blocking essential cookies may stop parts of the site working.
3. If you contact us
When you enquire about our services, whether by a form on this site, by email or by telephone, we use your name, contact details and whatever you tell us about the work in order to reply, to quote, and to keep a record of the conversation.
If the enquiry does not become work, we keep it for 12 months and then delete it.
4. Our customers and their people
When we clean for a business we hold the information we need to run the contract and get paid. Most of that is about the business rather than about a person, but some of it is personal information:
Name, job title, email address and telephone number of the main contact at each site, and of the accounts contact for invoicing
Correspondence with those people, including messages sent through our customer portal
Records of the work: cleaning checklists, audits, incident and maintenance reports, and the photographs taken as part of them
Photographs taken at sites are of the premises and the work. They are not taken of people, and our staff are instructed not to photograph anybody.
5. The customer portal
Customers who use our online portal have an account holding their name, email address, job title and the sites they are allowed to see. We keep the usual records of signing in so that we can keep accounts secure.
6. How we run the work
We run our operations through our own software. Information about customers, sites and the work done is held there, and some of it flows to the services listed in section 8, in particular to QuickBooks for invoicing and accounting.
7. Why we are allowed to hold this information
Data protection law requires a lawful basis for each use of personal information. Ours are:
Replying to enquiries and preparing quotes. Steps taken at your request before entering a contract, and our legitimate interest in running the business.
Delivering and administering cleaning contracts. Performance of a contract.
Invoicing customers and chasing payment. Performance of a contract, and our legitimate interest in being paid.
Keeping accounting records. Legal obligation.
Keeping the website and our systems secure. Our legitimate interest in protecting the business and the people who deal with it.
Where we rely on legitimate interests, we have considered whether our interest is outweighed by the effect on the individual. You can ask us for that reasoning, and you can object to the use.
8. Who we share information with
We do not sell personal information and we do not share it for marketing. We use the following providers, each of which processes information on our instructions under a written agreement:
Squarespace. This website, and anything you send through it.
Supabase. The database and file storage behind our operations software.
Vercel. Hosting for our operations software.
Resend. Sending emails, including invoices and notifications.
Intuit (QuickBooks). Accounting. Customer names and invoice details are sent to QuickBooks.
We also share information where we have to: with our accountants and professional advisers, with insurers in the event of a claim, and with anybody else where the law requires it.
9. Where information is held
Our systems are configured to hold data in the United Kingdom or the European Economic Area. Some of our providers are based outside the UK and may process information in other countries. Where that happens, the transfer is covered by the UK International Data Transfer Agreement, the UK Addendum to the European Commission Standard Contractual Clauses, or UK adequacy regulations.
10. How long we keep it
Enquiries that do not become work: 12 months
Customer contracts, invoices and accounting records: 6 years after the end of the relationship, to meet tax and limitation requirements
Service records, checklists and audits: 2 years
Incident records: 3 years from the date of the incident
Customer portal accounts: until the account is closed, then 12 months
11. Your rights
You have the right to ask us for a copy of the information we hold about you, to have it corrected if it is wrong, and in some circumstances to have it deleted or its use restricted. You can object to uses we base on legitimate interests, and ask for your information in a portable format where you provided it to us and it is handled by automated means.
We do not make decisions about anybody by automated means alone.
To exercise any of these rights, contact us at admin@ardexgroup.co.uk. We will endeavour to respond within one month and there is no charge.
12. Complaints
If you are unhappy with how we have handled your information, tell us first and we will try to put it right. You also have the right to complain to the Information Commissioner's Office, the UK supervisory authority, at ico.org.uk or on 0303 123 1113.
13. Changes to this policy
We update this policy when what we do changes. The date at the top shows when it was last revised.
